Deploy Flexspeak AAC with MDM: Out-of-App-Store Purchase

If your school or district uses an MDM (for example Jamf, Mosyle, or Intune) and a Flexspeak organization plan that includes communicator seats, you can deploy Flexspeak AAC to student devices and unlock full access from your organization—without buying Flexspeak AAC (VPP) licenses in Apple School Manager.

IT pushes the free app. Your Flexspeak admins assign seats. Students and communicators sign in and open the board without seeing purchase or subscription screens.

Overview

• One app for devices: Deploy Flexspeak AAC from the App Store (not the separate Flexspeak AAC (VPP) listing).

• Licenses live in Flexspeak: Seats are managed in your organization’s Manage Users list, not as paid VPP app licenses.

• No paywall for seated users: Communicators with an assigned seat open the grid without in-app purchase or “buy Flexspeak” prompts.

• Same AAC experience: Students get the same core communication tools as other Flexspeak AAC users; professionals keep remote editing and management from the organization account.

Which App Should We Deploy?

If your team already bought VPP app licenses and only needs core AAC on devices, use the VPP path and your procurement process. If seats, user management, and professional tools run through your Flexspeak for Schools / Studio organization, use this guide and deploy Flexspeak AAC.

Before You Start

Confirm all of the following:

1. Your organization is on a Flexspeak plan that includes communicator (AAC) seats (for example Flexspeak for Schools).

2. A Flexspeak admin can sign in on the web and open Manage Users.

3. Your MDM can install free App Store apps (or managed free apps) on student iPads.

4. You know which device groups should receive Flexspeak.

Part 1 — IT: Deploy the App with Your MDM

Menu names vary by vendor (Jamf, Mosyle, Intune, etc.). The goal is the same: install Flexspeak AAC on the right devices.

1. Add Flexspeak AAC to your app catalog

1. Open your MDM’s App catalog / Mobile apps / App store apps section.

2. Add the App Store app Flexspeak AAC.

3. Choose the store listing that matches: Flexspeak AAC.

4. Do not select Flexspeak AAC (VPP) unless you are intentionally using the VPP licensing path.

Tip: In Apple’s ecosystem, free App Store apps are often still assigned through your managed app / Apps and Books workflow so they install without a student’s Apple ID purchase step. Use whatever free-app deployment method your district already uses.

2. Assign the app to devices or users

1. Scope the app to your target smart group, static group, or user/device collection (for example “AAC iPads” or a school site).

2. Set automatic installation (or install on next check-in) so the app appears without each student searching the App Store.

3. Save/deploy and confirm the app icon shows on a sample device.

3. What students see after install

The app is free to install. Opening it alone does not permanently unlock full access—signing into a communicator account that has an assigned organization seat does.

Leave the iPad on the Flexspeak home / sign-in screen. Hand off to your Flexspeak admin or SLP for user setup (Part 2–3).

Part 2 — Flexspeak Admin: Add Communicators and Assign Seats

Seats and accounts are managed in Flexspeak, not in the MDM.

1. Open Manage Users

On web:

1. Sign in as an organization admin or professional.

2. Open Manage Users from the side navigation (or from Settings → Manage Users).

On the app:

1. Open Settings.

2. Select Manage Users.

2. Add each communicator

1. Click Add Communicator.

2. New users: Stay on create, fill in the form, and complete or skip setup as needed. Share the login details with the person who will sign in on the student iPad.

3. Existing Flexspeak accounts: Use the invite tab, enter their account email, and send the invitation. They must accept before you fully manage their account.

3. Confirm or assign a seat

On organization plans with communicator seats:

1. New communicators are often given a seat automatically while seats remain available.

2. On the user row, look for the Assigned seat badge when a seat is in use.

3. To assign manually (admins): open the Actions (⋯) menu on that user → Assign Seat.

4. To free a seat for someone else: Actions → Remove from Seat.

Watch the banner at the top of Manage Users (for example “Using 12 of 50 AAC seats”). If you hit the limit, new communicators may only get temporary trial access until you reassign seats or add capacity through sales.

4. What seated communicators will not see (Out-of-App-Store purchase)

This deployment is an out-of-App-Store purchase path: seats are purchased and provisioned through your Flexspeak organization agreement, not by each family or student buying in the App Store.

After they sign in with an account that has an assigned seat:

• They should not see the in-app paywall or prompts to buy a lifetime license / subscription.

• They should go straight into using their communication grid (and any settings your team configured).

If a student still sees a purchase screen, check that:

1. They signed into the communicator account you created or invited (not a personal trial with no seat).

2. Their row shows Assigned seat in Manage Users.

3. The organization plan/seat window is still active. Contact team@flexspeak.com if seats look correct but access does not.

Part 3 — On the Student Device

1. Open Flexspeak AAC (the MDM-installed app).

2. Sign in with that communicator’s email and password (or your organization sign-in method, if you use one).

3. Confirm the grid opens and no purchase screen blocks use.

4. Optionally lock the iPad to Flexspeak with Guided Access or your district’s single-app / kiosk profile, per local policy.

Professional staff continue to edit grids and settings remotely from their own Flexspeak accounts via Manage Users (Access User’s Grid / profile switch)—they do not need to buy VPP app licenses for that work when access is covered through the organization.
